AI software or a system built for your business?

Drafting a document, running a repeatable process and making a decision using company knowledge need different things. Start with the work you need done.

Three approaches, depending on the task.

01

Off-the-shelf AI software

One person or team needs help with individual tasks.

Example
Drafting text, summarising information or asking questions about approved documents.
Check first
Check what data you may use, which features are included and how your team reviews the output.
After launch
A licence price does not tell you whether it handles your particular task.
02

Connect your existing tools

The steps are known, but the information sits in several tools.

Example
Match a request, gather the missing context and prepare a draft in the system you already use.
Check first
Check interfaces, duplicate requests, approvals and the route when something fails.
After launch
Changes in a connected tool may create maintenance work.
03

A system for your business

The work needs company knowledge, multiple sources or your own decision rules.

Example
Compare a request with previous projects and team capacity, then prepare a reasoned proposal.
Check first
Check supporting records, access rights, difficult cases and handover to a person.
After launch
Development, running costs and later changes need clear ownership.

One example

A customer request meets your company’s knowledge.

Previous work, the current plan and your rules change the proposal. See what a system can compare and which questions it should leave open.

Test the work you need the system to do.

A convincing demonstration is not an acceptance test. Agree these cases before implementation.

An ordinary case

Are the result and source information correct? Can your team follow the reasoning?

A missing detail

Does the system ask, rather than filling the gap with a plausible claim?

A duplicate request

Does it recognise the existing record before performing the same action again?

An important approval

Does the agreed decision stay with the responsible person? Is it clear who acts next?

Take the questions into your next conversation.

Before you decide

Is a custom system always better?

No. An existing product may be enough if it handles the task reliably and fits your data and access rules. Additional development should solve a specific problem.

Can we start small?

Yes. Define one task, the information it needs and the people responsible. Test ordinary and difficult cases before adding more workflows.

Do we have to replace our tools?

Not automatically. We start with the tools you already use and check whether the necessary connections are possible and useful. Replacing one needs its own justification.

What happens when AI cannot finish the task?

That should be part of the workflow: flag missing details, prepare a question or hand over to the responsible person. Define which actions are allowed without approval.

Your next step

What work would you like AI to take on?

Describe the task and the tools you use today. We’ll discuss whether a review or a defined first project is the right starting point.
