Turn a request into a considered proposal.
The request fits. The deadline doesn’t match the current plan. The system compares the information and prepares a proposal for your team to review.

Can we take on this project, and what should our proposal say?
Prepare a proposal, but clarify two requirements first.
Confirm the delivery date and weekend support before making an offer.
Download the finding and draftSee what this is based on
The request matches the work described in your project library. The requested four-week delivery is shorter than the six weeks in your current plan, and weekend support is not covered by your standard terms.
| Customer request | Company information | Action needed |
|---|---|---|
| Comparable work | Two relevant project references | Use approved examples |
| Delivery in 4 weeks | Current plan allows 6 weeks | Agree capacity or a later start |
| Weekend support | Not in standard terms | Clarify coverage and price |
This example does not establish technical feasibility or a binding delivery date. A responsible person reviews both before making a commitment.

Prepared for review
- 1Assemble a draft proposal from the relevant project references and approved service information.
- 2Prepare delivery options and questions about weekend support, with sources for each assumption.
- 3After the owner reviews scope, price and commitments, prepare the agreed response and internal project brief.
Thank you for the brief. We have two relevant project references to discuss. Our current delivery plan allows six weeks. Before proposing a four-week schedule, we need to confirm additional capacity and agree what weekend support should include. Could you confirm the required coverage hours?
Which jobs are costing more than we allowed for?
Two jobs have €2,400 in costs above plan.
Review J-201 and J-202 against the quote, recorded work and expenses.
Download the finding and draftSee what this is based on
Compare the accepted quote with recorded labour and expenses. The next step is to establish whether the difference comes from extra work, poor estimates or delivery problems.
| Job | Planned cost | Recorded cost |
|---|---|---|
| J-201 | €6,000 | €7,500 |
| J-202 | €4,500 | €5,400 |
| J-203 | €3,500 | €3,500 |
(7,500 − 6,000) + (5,400 − 4,500) = 2,400 €
A cost difference does not establish who is responsible or whether extra work can be billed.

Prepared for review
- 1Prepare a cost review for J-201 and J-202 with the supporting records.
- 2Ask the project owners to explain work outside the original scope.
- 3After review, propose a revised estimate or customer discussion.
Please review J-201 and J-202. Recorded costs exceed the estimates by €1,500 and €900 respectively. Confirm which items relate to approved extra work, estimation differences or delivery issues. Attach the supporting records before proposing a customer discussion or a revised estimate.
Can we accept this order without delaying work we already promised?
The current plan is short by 16 working hours.
Agree a different start date or extra capacity before accepting the order.
Download the finding and draftSee what this is based on
Your team has 120 hours available, with 90 already committed. This order needs another 46. A different start date or extra capacity needs to be agreed before making a promise.
| Planning input | Hours | Meaning |
|---|---|---|
| Available capacity | 120 | Team availability |
| Existing commitments | 90 | Already promised |
| New order | 46 | Estimated work |
90 + 46 − 120 = 16 hours
This simplified example uses total hours. A real plan also checks skills, deadlines, absences and task dependencies.

Prepared for review
- 1Prepare a plan that protects the existing commitments.
- 2Compare a later start with adding approved capacity.
- 3Ask the responsible manager to choose before confirming the order.
The new order would require 136 hours in total against 120 available. Before confirming a date, compare a later start with approved additional capacity. Check skills, deadlines and dependencies for both options. Existing customer commitments should remain protected.

The first 1–2 weeks
Your plan for implementation.
Useful applications, priorities and costs. You decide where we start.
Before you choose
Our responsibility
Not working as agreed? We fix it.
If our implementation fails the agreed checks, we correct it at our expense. The final payment for that stage follows your approval.
What we agree before starting
We agree in writing what to build, how and when to test it, and what each side needs to provide. Extra work gets a separate quote.
Before we speak
Before you decide.
What to know before working together.
Do we need to know what AI should do?
No. Tell us which decisions or tasks take too long. The review identifies useful applications and checks whether the information needed is available.
Does the review include implementation?
The review gives you the findings and a plan. You decide which changes to commission, at a price agreed separately.
Do we have to replace our software?
We start with your current tools. If we recommend replacing one, we explain why, what it costs and how to make the switch.
How much time do you need from our team?
We agree who needs to be involved and schedule time with them before starting. The 1–2 weeks cover the tasks agreed with you.
